Our client is a prominent company in the energy sector, known for its innovative solutions and global presence. We are looking for a highly organized and efficient Executive Assistant to support some board members at their new Hub in Lisbon.
Key Responsibilities:
- Manage calls and align executive schedules.
- Organize and set up meetings, conferences, and teleconferences.
- Prioritize and handle mail, phone calls, and business events.
- Attend management meetings and take minutes.
- Arrange travel plans, itineraries, and accommodations.
- Process expense claims and track time for the management team.
- Prepare materials for presentations and compile data for reports.
- Create status reports for strategic activities.
- Maintain and organize documents in SharePoint.
- Supervise the administrative team and help with other tasks as needed.
Qualifications:
- Proven experience in an executive administrative rol
- Exceptional organizational and multitasking skills
- Proficiency in office software and SharePoint.
- Ability to work independently and prioritize tasks effectively.
- High level of alignment, commitment, flexibility, and availability.
- Fluent in english with excellent communication skills, both oral and written.
